How do I integrate my Aarcade email with my Gmail, Outlook, Yahoo or other email service?

Please note that Aarcade custom domain and email services are only available with an Aarcade Domain & Email Plan.

Integrating your Aarcade email account with your Gmail, Outlook (i.e. Outlook.com – not to be confused with the Outlook desktop application, which you can set up using the standard instructions), Yahoo or other cloud email service allows you to send and receive all of your emails from a single login and admin area and maintain all of the extra tools and benefits that come with these leading cloud email services, including increased inbox capacity and the world’s largest scale message delivery networks.

If you do not already have an account with a leading cloud email service, or you would like an account specifically for your Aarcade email (this can be helpful if you have multiple email accounts), you can create a new account now and bring these extra benefits to your Aarcade email immediately.

A suggestion for naming your new account: if your Aarcade email address is myname@mydomain.com, your new account created with one of the links above could be myname.mydomain@gmail.com (using Gmail as an example). The name you choose is inconsequential if you plan to send and receive only from your Aarcade address.

Will my custom domain email still be displayed to my email recipients?

Following the instructions provided below will ensure that your messages are marked from your custom Aarcade email address. Your cloud email account (e.g. yourname@gmail.com) will not appear in your messages.

You will also still be able to send and receive with your cloud email account (e.g. yourname@gmail.com) when required.

Step 1: Remove all forward settings at your Aarcade email account

Log in to your Aarcade webmail – refer How do I access my email? – and:

  1. Click the gear icon maingear (i.e. Settings) in the tool bar
  2. Navigate to the My Settings > Account Settings controls
  3. Click the Forwarding tab
  4. Clear the Forwarding Address field (if not already empty)
  5. Click the Save button located above the settings

A note on forwarding

Forwarding your Aarcade email to other email services can cause delivery issues and even result in your Aarcade email address being blacklisted for spam. Only use forwarding when there is no other option (e.g. if the receiving email account can not retrieve email by POP as detailed in the following sections of this article).

Forwarding to other Aarcade email accounts is OK.

Step 2: Add your Aarcade email account to your cloud email service

Your Aarcade email POP settings are detailed in the table below and will be required when following the instructions in this section.

IMPORTANT: If you changed your password via your webmail interface, as recommended by Aarcade Support, then use your new password here and not the original one provided by Aarcade
  1. Enable sending from your Aarcade email account:
    1. Log in to your Gmail webmail area
    2. Click the gear icon maingear (i.e. Settings) at the top right of your webmail area
    3. Select Settings in the drop down
    4. Select the Accounts tab
    5. In the Send mail as: section, click Add another email address you own
    6. Enter your desired name and your Aarcade email address – e.g. yourname@yourdomain.com – and click Next Step
    7. Leave the default selection of sending through your Gmail server – marked (easier to set up) – and click Next Step
    8. Click Send Verification
    9. Return to your Aarcade webmail – refer How do I access my email? – locate the verification message in your inbox and follow the directions to verify your Aarcade email account
    10. Reload your Gmail webmail area and navigate back to the Send mail as: section (steps A-E above) and verify your Aarcade email address is added. Set your Aarcade email address to the default by clicking make default next to the address.

  2. Enable receiving from your Aarcade email account:
    1. Log in to your Gmail webmail area and navigate to the Accounts tab (steps 1. A-D above)
    2. In the Check mail from other accounts section, click Add a POP3 mail account you own
    3. Enter your Aarcade email address – e.g. yourname@yourdomain.com – and click Next Step
    4. Enter your Aarcade account details:
      • Username: enter your Aarcade email address (your address is your username) – e.g. yourname@yourdomain.com
      • Password: enter your Aarcade email password
      • POP Server: clear the default value and add your POP server – e.g. pop.yourdomain.com
      • Port: select 110
      • Leave all remaining checkboxes unchecked
      • Click Add Account

  1. Log in to your Outlook webmail area
  2. Click the gear icon maingear (i.e. Settings) at the top right of your webmail area
  3. Select More mail settings in the drop down
  4. Click the Your email accounts link
  5. In the Add an email account section, click Add a send-and-receive account
  6. Enter your desired name and your Aarcade email address – e.g. yourname@yourdomain.com – and your Aarcade email password
  7. Click the Advanced options link
  8. Enter your Aarcade Incoming (POP3) server information details:
    • Server Address: add your POP server – e.g. pop.yourdomain.com
    • Port: select 110
    • Uncheck Requires a secure connection (SSL)
    • Uncheck Leave a copy of messages on the server
    • Username: enter your Aarcade email address (your address is your username) – e.g. yourname@yourdomain.com
    • Password: enter your Aarcade email password
    • Click Add Account
  9. In the Outgoing (SMTP) server information section, select Send email using Outlook’s server
  10. Click the Next button
  11. Select An existing folder: Inbox and click Save
  12. Return to your Aarcade webmail – refer How do I access my email? – locate the verification message in your inbox and follow the directions to verify your Aarcade email account

  1. Log in to your Yahoo Mail webmail area
  2. Click the gear icon maingear (i.e. Settings) at the top right of your webmail area
  3. Select Mail Options in the drop down
  4. In the Advanced Options section of the sidebar, click the Mail Accounts link
  5. Click the Add button
  6. Enter your desired name and your Aarcade email address – e.g. yourname@yourdomain.com – and click Continue
  7. Enter your Aarcade email POP details:
    • Username: enter your Aarcade email address (your address is your username) – e.g. yourname@yourdomain.com
    • Password: enter your Aarcade email password
    • POP Server: add your POP server – e.g. pop.yourdomain.com
    • Deliver email to: select Inbox
    • Leave all remaining checkboxes unchecked
    • Click Save
  8. Return to your Aarcade webmail – refer How do I access my email? – locate the verification message in your inbox and follow the directions to verify your Aarcade email account
  9. Reload your Yahoo webmail area and navigate back to the Mail Accounts section (steps A-D above), click the name of the Aarcade email address you just added and verify your Aarcade email address is validated
  10. Check the Default sending account option and click the Save button

Most email services work in a similar way. We recommend that you review the instructions for the email services above and then use these instructions as a general guide to achieve the same results with your email service.

If you get stuck, please refer to the help / support resources provided by your email service and contact their support if necessary.

Step 3: Test your new email set up

Your Aarcade email account should now be successfully integrated with your cloud email service. To test this, log in to your cloud webmail (i.e. Gmail, Outlook, etc.) area and send a test email to someone else’s email address. Note that when you compose the email, you now have a choice to send the email from your Aarcade address or your cloud email address. Make sure that your Aarcade address is selected.

Have the email recipient confirm that they receive your test email and that it is correctly marked from your Aarcade email address. Have them reply to the test email and verify that you receive the reply at your cloud webmail (i.e. Gmail, Outlook, etc.) inbox.

You may not receive test emails at your cloud webmail (i.e. Gmail, Outlook, etc.) inbox immediately.

Your cloud email service will retrieve messages from your Aarcade email account at its own frequency and this may vary from ten minutes to one hour.

If your testing is unsuccessful, review each step of the set up instructions again and refer to the additional support articles linked therein.

Set up complete

Once your Aarcade email is successfully integrated with your cloud email service you can now manage all of your emails from your cloud webmail interface (e.g. from your Gmail, Outlook or Yahoo webmail area).

Important Note On Your Aarcade Spam and Inbox

It is important to understand that your email is still being delivered to your cloud webmail via your Aarcade inbox. This means that it is possible for your Aarcade inbox to divert some email to spam before it gets to you. Also, if you have not used your cloud webmail preferences to delete messages after retrieval, your Aaracde inbox can also continue to accrue messages until it is full.

For the above reasons, you should log into your Aarcade webmail from time to time to check your account Spam folder and disk space usage. If you want to remove the need to do this on a regular basis, you can:

  1. Switch off your spam settings in your Settings > Filtering > Spam Filtering Aarcade webmail controls.
  2. Ensure that your cloud webmail preferences are set to delete messages after retrieval.

Using Applications To Access Your Email

If you wish to use a desktop or mobile device application instead of your cloud webmail or application – note that most cloud email services have their own mobile application that you can download for free – simply follow the instructions provided by your cloud webmail service to add your account to the application, for example:

Remember that your cloud email service replaces your Aarcade email connection so, if you have previously added your Aarcade email to your email application, remove it from the application before you add your cloud email using the above links.

Gmail’s Email Retrieval Rate

Gmail uses an algorithm to decide when to retrieve email from remote email accounts. This can result in undesirable delays in receiving email messages.
